EQUANS Company App Privacy Notice
1. Introduction
EQUANS UK and Ireland BU (“EQUANS”, “we”, “our”, “us”)) operates this application (“Company App”) to enable communication with our employees (“you”, “your”, including the provision of notices, corporate communications, surveys and training. As part of this, EQUANS will processes your personal data in accordance with applicable regulations pertaining to personal data protection.
This Privacy Notice relates to Company App only. Any use of Company App to link into EQUANS or other entities’ systems / websites are not covered by this Privacy Notice.
EQUANS Services Limited is the legal entity acting as Data Controller of Company App. It processes your personal data based on consent. The use of Company App is voluntary, and you can decide not to use Company App or delete it from your phone if you wish. Doing so may mean that you fail to receive communications made through Company App.
2. Purpose of Data Processing
The purpose of Company App to support communication between you and EQUANS in the context of your employment by:
· Providing copies of employee notices or communications, including the opportunity to give feedback;
· Providing you with information on EQUANS’s activities including facts, figures, service updates and industry news;
· Providing access to training in the context of your job;
· Providing access to potentially relevant documents and policies.
3. Data Categories
For logged-in users:
We only collect data that is necessary for the purpose of ensuring that only EQUANS employees can log on to Company App and to provide analytics. Several categories of data are collected to operate the app. This is information coming from existing EQUANS systems (such as payroll systems) and not new data stored from the app, in particular:
· Personal details (name)
· Work details (GID, work email address, contract, office location)
For non logged-in users:
We do not collect any personal data. We collect some analytical information to help with our engagement such as type of device and version. This is all anonymous and is not traced to individuals.
4. Recipients of the Data
Only authorised recipients receive and have access to personal data, in compliance with current regulations. These will be:
1. Our employees involved in the provision of our services (who are based in the UK);
2. Our legal representatives or other concerned parties in circumstances where we reasonably believe that disclosing personal data is necessary to help identify, contact or bring legal action against anyone damaging, injuring or interfering with our rights or property, users or anyone else who could be harmed by such activities;
3. Relevant government, regulatory or public authorities (including the police);
4. Mobile phone operating system providers (for confirmation of the right to install Company App) and Cloud service providers;
5. Other potential third-parties to whom you’ve requested products or services, or where we are required by law to disclose information.
5. Data Retention Time
Company App will retain personal data for 1 year from the date in which either you cease to be an EQUANS employee, or you delete the application from your phone.
6. Storage and Transfer of Data
EQUANS is based in the UK and your personal data will only be stored and processed by us in the UK. We may however use sub-processors which process personal data outside of the UK, for example where we use website or call analytics tools, and these will be located either in the EEA or the USA. In the case of the USA, using Standard Contractual Clauses together with appropriate technical and organisational measures.
7. Your Rights to Your Data
You have certain legal rights in relation to the personal data that we hold including in relation to accessing, querying, amending, deleting, limiting or transferring it. Please contact us using the details given below in order to exercise these rights.
